You need to purchase Salesforce Backup to be able to assign the Backup and Restore User Permission Set License and utilize the app. The Salesforce Backup app is a managed package that you can install in your Salesforce org and set up in as little as 10 minutes! The first step is assigning the necessary licenses and permissions to the users who will manage the app. Each Salesforce Backup user needs: Step 1: Assign the Backup and Restore Permission Set License The Backup and Restore Permission Set License gives users the permissions they need to use the Backup managed package. Step 2: Assign Backup and Restore Permissions Next, assign users permission to access the Salesforce Backup application. Step 3: Assign Object Permissions to Users Users who manage backup policy or initiate restore jobs also need object permissions to ensure that they have the correct access to data. (We dive deeper into how Backup respects object rules next.) Admins must identify the objects they want to include in their backup policy, and then make sure that they had the necessary object permissions.   The Salesforce Backup application respects object access rules and only acts on objects that you have access to. Without full object access, backups don’t complete or aren’t available for restoration later. Most backup and restore issues stem from incorrect object access settings. For objects you wish to include in your backup policy: Make sure that you’ve enabled Oauth for the app to have access to them, and assign read access to all objects you plan to back up. Also ensure that you meet all special access rules. For example, some objects are only available in specific products or when features within those products are enabled. Review the Special Access Rules section of the Object Reference documentation for the licenses, permissions, and preferences that each object requires. Salesforce Backup Doesn’t Support Certain Objects Here is a list of objects and items that are not currently supported by the Backup app: Other key considerations: Install and Set Up the Salesforce Backup Managed Package You’ve set up your users with everything they need to use Salesforce Backup. Your last step is installing the managed package. 8. In the Set Up Your Connection section, click Connect. This action creates a secure connection using OAuth 2.0 Web Server Flow between Salesforce and the data storage location in AWS. 9. Click Test Connection. When the test is successful, you’re ready to create a backup policy. This is the application’s backup tab, which includes a list of available objects. This is the application’s setting tab, which includes settings relating to trusted IP addresses and connection status. Here is a helpful glossary of Salesforce acronyms for General Data Management and Security you will hear. Acronym Meaning Defintion 2FA Two-factor Authentication Also an extra layer of security that proves a user trying to login to Salesforce is who they say they are. You will have seen this in action when creating/updating your password, and selecting a question (eg. “City you were born”) and a memorable answer. Note: 2FA has now been broadly replaced by MFA. CASL Canada Anti-Spam Law An anti-spam law that applies to all electronic messages (i.e. email, texts) organizations send in connection with a “commercial activity.” Its key feature requires Canadian and global organizations that send commercial electronic messages (CEMs) within, from or to Canada to receive consent from recipients before sending messages. CCPA California Consumer Privacy Act Similar to GDPR, CCPA applies to businesses that collect or use personal information of California residents (even if the business is not in California). CORS Cross-Origin Resource Sharing “Allows web browsers to request resources from other origins. For example, using CORS, the JavaScript for a web application at https://www.example.com can request a resource from https://www.salesforce.com.” (source). CSP Content Security Policy The Lightning Component framework uses CSP to impose restrictions on content. The main objective is to help prevent cross-site scripting and other code injection attacks. GDPR General Data Protection Regulation A legal framework that sets guidelines for the collection and processing of personal information from individuals who live in the European Union (EU). HIPAA Health Insurance Portability and Accountability Act Ensures that individual health-care plans are accessible, portable and renewable, and it sets the standards and the methods for how medical data is shared across the U.S. health system in order to prevent fraud. HMS Hardware Security Module “Used to provide cryptography processing and key management for authentication. Shield Platform Encryption uses HSMs to generate and store secret material, and run the function that derives data encryption keys used by the encryption service to encrypt and decrypt data.” (source). KMS Shield Key Management Service “Shield Platform Encryption uses data encryption keys to encrypt and decrypt data. Data encryption keys are derived on the Shield Key Management Service (KMS) using keying material split between a per-release master secret and an org-specific tenant secret stored encrypted in the database.” (source). MFA Multi-factor Authentication An extra layer of security that proves a user trying to login to Salesforce is who they say they are. MFA combines something you know (ie. password) with something you own (ie. mobile phone). There are Salesforce approved MFA methods (Salesforce Authenticator app, built-in authenticators, security keys). MFA was formerly two-factor authentication or 2FA. PII Personally Identifiable Information Any data that can be used to identify a specific individual: social security numbers, mailing or email address, and phone numbers have most commonly been considered PIIFor auditing purposes, in Salesforce, Admins can indicate that a field contains PII in the field definition in Salesforce Setup. SCV Single Customer View The concept of collating every data point and interaction that an individual (customer, prospect, or partner) has with an organization, accessible from one record. Also referred to as a “360-degree View”, Salesforce launched the “Customer 360” messaging to communicate that the tightly connected Salesforce platform can enable organizations to achieve this rich profile of each individual. SSL Secure Sockets Layer “Salesforce certificates and key pairs are used for signatures that verify a request is coming from your organization. They are used for authenticated SSL communications with an external web site, or when using your organization as an Identity Provider.” (source). SSO Single Sign-on Sign in to one system, and then be automatically signed into all the rest of the applications you need. Fewer passwords, fewer headaches, less tedium and it should enable you to get on with what you actually intended to do, rather than get bogged with admin stuff such as hunting around for where you put your password hint. What is a duplicate checker in Salesforce? Salesforce finds and handles duplicates using a combination of matching rules and duplicate rules. Duplicate rules and duplicate jobs specify matching rules that determine how duplicates are identified. Duplicate sets and reports list the duplicates found. Some tools for checking and catching duplicate Salesforce records include: Duplicate Check is a fully on-platform duplicate management tool for Salesforce, empowering users to manage their data and sieve out duplicate records with unparalleled ease. While incredibly complex in its logic, it’s also bewilderingly simple to set up and use – you don’t even need an Admin to set it up! The Matching Method allows you to configure the kind of match the field values are required to have before they’re considered a match. An exact match means the two fields must be identical, character for character. A Fuzzy match means the field values need to be similar – not identical, but close. One way is to use the Duplicate Management feature in Salesforce. This feature can be found in the Setup menu under Data Management. Duplicate Management can be used to find and merge duplicate records. Another way to find duplicate records is to use the Salesforce Data Export Service. This is just a drop in the bucket.  When selecting a duplicate record management tool, look at your specific business needs. How do I prevent duplicates in Salesforce? Block sales reps from creating duplicate leads. In the Standard Lead Duplicate Rule, select Block instead of Allow. With the Standard Lead Duplicate Rule set to block duplicates, a rep can click to view duplicates of leads but can’t save a new lead.
