In Salesforce, object tagging refers to the practice of adding keywords or categories to records (objects) to organize and categorize them for easier searching and reporting. This helps users quickly find relevant information and insights. Salesforce offers several ways to implement object tagging, including using standard Salesforce tags, topics, or custom fields. 

Object tagging in Salesforce:

1. Standard Salesforce Tags:

  • Enable Tags: You can enable personal and public tags in Salesforce Setup under “Tag Settings”. 
  • Tag Usage: Users can add tags to records to categorize them. 
  • Tag Visibility: Personal tags are visible only to the user who created them, while public tags are visible to all users who have access to the record. 
  • Reporting: While you can’t directly report on tags in list views or reports, you can use rollup summary fields or custom report types to achieve this, according to Salesforce documentation. 

2. Topics:

  • Enable Topics: Topics can be enabled for standard and custom objects, allowing you to categorize records with hashtags.
  • Topic Component: The Topic component can be added to record pages in Lightning Experience.
  • Topic Suggestions: Salesforce can suggest topics based on record data, making it easier to tag records accurately. 

3. Custom Fields:

  • Picklist Fields:. You can create custom multi-select picklist fields to represent tags, offering more control over available options. 
  • Text Fields: You can use text fields to allow users to enter free-form tags, but this can lead to inconsistencies and duplicates. 
  • Rollup Summary Fields:. Rollup summary fields can be used to display a list of tags associated with a record. 

4. Account Engagement (Pardot) Tags:

  • Tagging Assets and Prospects: In Marketing Cloud Account Engagement, tags can be used to categorize assets (files, emails, forms) and prospects. 
  • Organizing Content: Tags help organize content by type (e.g., image, white paper) and make it easier to find and report on specific items. 
  • Excluding Prospects: Tags can be used to exclude prospects from certain marketing activities. 

5. Other Uses:

  • Relationship Tags: Custom objects can be used to create relationship tags for reports. 
  • Interest Tags: Industry-specific clouds like Financial Services Cloud offer interest tags for categorizing records. 
  • Data Governance: Object tagging can be used for data classification and governance in platforms like Snowflake. 

Choosing the Right Approach:

  • Tags: Best for quick, flexible categorization and collaboration.
  • Topics: Suitable for categorizing records and facilitating collaboration.
  • Custom Fields: Offers more control over available options and reporting capabilities.
